We are seeking an experienced developer/team to build a cloud-based Visitor Management System (VMS) with robust features to enhance our visitor management process. The system should be intuitive, secure, and highly functional, designed to streamline visitor check-ins and ensure compliance with our safety protocols. Key Features Required: 1. Invitation System: • Hosts can send invitations to visitors via email and SMS. • Visitors receive the invitation with details of the appointment. 2. Safety Induction Compliance: • Visitors must agree to watch a safety induction video. • Visitors need to complete a questionnaire after the video. 3. QR Code Appointment System: • Visitors receive a QR code with their appointment details. • QR codes are generated and sent to visitors after they complete the safety induction and questionnaire. 4. Reception Check-In/Check-Out: • Visitors show their QR code at the reception upon arrival. • The system sends a notification to the host for approval. • If approved, the visitor is marked as ‘IN’. • Visitors must check out at reception by scanning their QR code, marking them as ‘OUT’. This should update the visitor’s time log in the system. 5. Dashboard and Reporting: • The dashboard displays the number of visitors, purpose of visit, and visit duration. • The system should provide detailed reports on visitor statistics. 6. Invitation Page: • A dedicated page for hosts to send invitations to visitors. 7. User Roles and Permissions: • Administrator account with full access to all system features. • User accounts with limited access, primarily to invite and accept visitors. 8. Multi-Tenant Support: • The system must support multiple customers. We should be able to act as the master admin and create customer accounts under our system. • Each customer should have their own view and access to their specific data. 9. Domain and Hosting: • Assistance with domain setup and hosting for the system. 10. Validity and Renewal Reminders: • Implement functionality to manage account validity and send reminders for annual renewals. Additional Features to Consider: • Visitor Pre-Registration: • Visitors can pre-register their details to expedite the check-in process. • Customizable Safety Induction: • Ability to update safety videos and questionnaires as needed. • Visitor Badge Printing: • Print visitor badges upon check-in with relevant information. • Integration Capabilities: • Integrate with existing security systems or visitor access hardware. • Multi-Language Support: • Support multiple languages for a diverse visitor base. • Optional Mobile App: • Consider developing a companion mobile app for easier visitor check-ins and management. Skills Required: • Experience in developing cloud-based applications. • Proficiency in web development languages and frameworks. • Strong understanding of database management and integration. • Experience with sending notifications via email and SMS. • UI/UX design skills to create an intuitive and user-friendly interface. • Knowledge of security best practices to ensure data privacy and protection. • Experience with domain setup and hosting solutions.
